Challenge
A new website and digital booking system had to be delivered and adopted across medical and administrative teams with varying levels of technical comfort.
We needed to overcome natural resistance to workflow changes by ensuring the front desk staff, nurses, and doctors felt supported rather than overwhelmed by the new technology.
The patient-facing booking interface had to be highly intuitive to drive independent use, while simultaneously capturing the strict, detailed data requirements necessary for accurate clinical triage.
Approach
Acted as the coordination point between internal teams and external delivery partners, keeping requirements, timelines, and open items visible.
Process
Requirements were captured and tracked, coordination kept stakeholders aligned, implementation was supported, issues were tested and resolved, and adoption was supported after launch.
Execution
Established a structured feedback loop between the hospital's administrative staff and external developers, translating clinical workflow concerns into actionable technical requirements.
Conducted rigorous phased testing of the booking logic before launch to ensure the digital system accurately mirrored the real-world availability of doctors and specialized equipment.
Developed quick-reference operational playbooks and led hands-on training sessions to build confidence among frontline staff, ensuring they could manage the system without constant IT support.
Outcome
The website and digital booking system successfully moved into day-to-day use, becoming a primary, reliable channel for non-emergency patient appointments.
Significantly reduced administrative bottlenecks at the front desk, freeing up staff to focus on in-person patient care rather than manual phone scheduling.
Eliminated legacy double-booking errors by ensuring real-time synchronization between the patient-facing digital portal and the hospital's internal calendars.
Achieved full operational adoption within the first month of launch, supported by the coordinated training and post-go-live troubleshooting processes.
Lessons
Adoption is part of implementation — the coordination after go-live mattered as much as the delivery itself.
